ClearCaliber Automations ("we," "us") builds done-for-you invoice automation for construction general contractors. This page explains what information we collect through this website and through our service, and how we handle it.

Information we collect

When you submit the contact form on this site, we collect whatever you enter: your name, company, email address, phone number, and message. That form opens your own email client with the details pre-filled and sends the message directly to our inbox, it does not pass through a server or database we control. If you email us directly, we receive whatever you choose to send.

If you run a pilot with us or become a customer, the system processes the vendor invoices sent to your connected inbox and the data extracted from them. That includes vendor names and contact details, invoice numbers and dates, amounts, line items, and PO and job numbers. It also includes the details needed to post those invoices to your accounting software.

How we use it

We use contact information to respond to your inquiry, propose and run a pilot, and, if you become a customer, set up and support your automation. We use invoice data only to provide the service to you: extracting it, checking it for problems, posting it to your accounting software, and flagging items for your review. We do not sell, rent, or share your information with third parties for marketing purposes.

Cookies and analytics

This site asks for your consent before loading any analytics. If you accept, we may use a privacy-focused analytics tool to understand which pages are visited and how, in aggregate, no attempt is made to identify you personally. If you decline, no analytics are loaded. You can change your choice at any time by clearing your browser's local storage for this site.

Third-party services

This site loads fonts from Google Fonts. If you run a pilot or become a customer, your automation setup involves your own Gmail or Outlook account and your own accounting software, such as QuickBooks or Sage. It also involves an AI service used to read and extract invoice data, and the workflow-automation and data-storage services we use to run your automation. Each is governed by its provider's own privacy terms and, for your own accounts, your existing agreements with those providers.

Data retention after a pilot or service ends

If you decide not to continue after a pilot, or you end your service, you can ask us to delete the invoice data we hold for you, and we will. Entries already posted to your accounting software stay in your accounting system, which you control.

Data security

We take reasonable steps to protect any information you share with us. Because our contact form sends mail directly rather than storing submissions on a server, there is no customer database on this website to be exposed by a website breach.

Your rights

You can ask us at any time to tell you what information we hold about you, or to delete it. Contact us using the details below and we'll take care of it.

Changes to this policy

If this policy changes, we'll update the effective date at the top of this page.
